Acceptable Use Policy

The client portal exists so that we and the people we are working for can run a project together. This page sets out what it may be used for, and the few things it may not.
What the portal is for
Setting up a project, telling us what you need, answering our questions, exchanging the files a project requires, and keeping a record of what was agreed. It is a working tool for a specific engagement between your organisation and Visibool Tech.
It is not general file storage, a backup service, or a place to keep material that has nothing to do with the work.
What may not be uploaded or sent
- Anything unlawful, or that infringes somebody else’s rights
- Malware, exploit code, or files designed to compromise a system
- Material you do not have the right to share with us — including another organisation’s confidential information
- Special category personal data (health, biometrics, political or religious beliefs and so on) unless we have agreed in writing that the project requires it and how it will be handled
- Payment card numbers. If a project needs card data, we will agree a route that is not this
- Harassing, abusive or threatening messages
File limits
Uploads must stay within the posted size limit, and only commonly used document, image, spreadsheet, presentation and archive formats are accepted. The limit and the accepted formats are shown in the portal at the point of upload, and anything outside them is refused there.
Certain file types are excluded for security reasons. If a file you need to send us is refused, put it in an archive or ask us and we will arrange another route.
Looking after your access
- Accounts are issued to a person, not shared between colleagues. If somebody else needs access, ask us and we will invite them.
- Choose a password you do not use anywhere else, and tell us immediately if you think it has been exposed.
- Everyone in your organisation with a portal account can see everything on your projects — files, messages and answers alike. Bear that in mind before uploading something sensitive.
- Do not attempt to reach data belonging to another organisation, or to probe the service for weaknesses without asking us first. We will always say yes to a responsible request and would rather hear from you than find out afterwards.
- No automated scraping, bulk downloading, or load testing.
If these rules are broken
In almost every case we will contact you first, because almost every case is a misunderstanding. Where something is serious or ongoing we may suspend an account or remove content without notice, and we will tell you why as soon as we reasonably can.
Suspending portal access does not by itself end any contract between us. That is governed by the project agreement and by our Terms of Service.
Reporting a problem
If you see something on the portal that should not be there, or believe you have found a security issue, email hello@visibool.com. Security reports are welcome and we will not treat a good-faith report as a breach of this policy.
